Design Considerations

When designing a large room with audio-video capabilities, several key considerations should be addressed to ensure the space is both functional and comfortable for users. A well-designed small room should balance acoustics, ambient noise, and lighting to create an optimal environment for in-person and remote collaboration.

Ambient Noise Control

In a large room, maintaining a low level of ambient noise is crucial for clear communication, especially during video calls. The target for ambient noise in such a space should be around 35 dB(A) or lower. To achieve this, it is important to place the space away from high-traffic areas or noisy mechanical systems. Additionally, soundproofing measures, such as using solid core doors and insulated walls, can help keep external noise to a minimum.

Acoustical Treatments

Given the larger size of these rooms, managing sound reflections and reverberation is vital. The ideal Reverberation Time (RT60) for a huddle room should be between 0.4 to 0.6 seconds. Acoustical treatments can help achieve this:

  • Wall-Mounted Acoustic Panels: These should be strategically placed to absorb sound and reduce echoes, particularly on walls that face the microphone or speaker setup.
  • Carpeting or Rugs: Adding carpeting or rugs can help dampen sound and reduce floor reflections.
  • Acoustic Ceiling Tiles: These can further absorb sound and are particularly effective in smaller, enclosed spaces.
  • Furniture and Soft Furnishings: Including soft seating, curtains, and other fabric elements can also contribute to sound absorption and reduce ambient noise.

Lighting Considerations

Lighting plays a significant role in the quality of video conferencing in a video enabled room. The goal is to create soft, even lighting that avoids harsh shadows or glare, which can negatively impact the video experience for remote participants.

  • Natural Lighting: While natural light is beneficial, it should be diffused with blinds or shades to prevent direct sunlight from causing glare or uneven lighting in the room.
  • Overhead Lighting: Use diffuse overhead lighting to evenly illuminate the room. Avoid placing lights directly above participants to prevent unflattering shadows.
  • Task Lighting: Adjustable task lights can be added to enhance illumination as needed without creating stark contrasts or shadows.
  • Color Temperature: Opt for lighting in the range of 3500K to 4500K, which provides a natural and comfortable light tone that is ideal for video conferencing.

Video and Audio Equipment Placement

In a web conferencing enabled room, the camera and microphone should be positioned to maximize audio and visual clarity. The camera should be mounted at eye level to create a natural viewing angle, and its field of view should cover all participants without distortion. For audio, the microphone should be centrally located to capture all voices clearly, and speakers should be positioned to provide even sound distribution across the room.
